This Privacy Policy sets out the data processing practices of Beaconsoft Ltd and its subsidiaries worldwide (henceforth referred to in this document as “Beaconsoft”). Please note that all data thus captured will be used and held in compliance with the requirements of the UK Data Protection Act 2018. Beaconsoft trades under the name of Veracity Trust Network in the UK and similar names in other territories.

We are a UK headquartered software organisation providing AI-based cybersecurity solutions and associated services, led by customer-first principles and a code of ethics.

2. Information we collect and control 

We only collect the information that we actually need. Some of that is information that you actively give us when you sign up for an account, register for an event, ask for customer support, or purchase something from us or one of our authorised resellers, referral partners or channel partners. We store your name and contact information using the legitimate interest lawful bases; but we don’t store credit card numbers (except with your permission and in one of our secured payment gateways). 

When you visit one of our websites, we automatically log some basic information such as how you got to the site, where you navigated within it, and behaviours on the site protected by our software, and what features and settings you use. We use this information to improve our websites and services and to drive new product development. 

Sometimes we receive information indirectly. If you ask about our products through one of our authorised resellers, referral partners or channel partners, or sign in to one of our products through an authentication service provider like LinkedIn or Google, they’ll pass on your contact information to us. We’ll use that information to complete the request that you made.  

If you engage with our brand on social media (for instance, liking, commenting, retweeting, mentioning, or following us), we’ll have access to your interactions and profile information. We may maintain a copy of that information outside the social network even if you later remove it from the social media site. 

3. What we do with your information 

We use your information to provide the services you’ve requested (either directly or via our authorised resellers, referral partners or channel partners), create and maintain your accounts, and monitor for unauthorised activity on your accounts. We also use it to communicate with you (either directly or via our authorised resellers, referral partners or channel partners) about the products you’re currently using, your customer support requests, new products you may like, opportunities for you to give us feedback, and policy updates. If you have opted out of receiving marketing communications then we will not send those to you. We analyse the information we collect to understand user needs and to improve our websites and services. 

We have a legitimate interest in collecting and processing your information. In most cases, we either have your consent or need the information to provide the service you’ve requested from us. We will always adhere to UK law and EU regulations in processing your data. 

You can decline certain kinds of information use either by not providing the information in the first place or by opting out later. You can also disable cookies to prevent your browser from giving us information, but if you do so, certain website features may not work properly. We completely disable non-essential and intrusive third-party cookies from all of our websites by default. We do not use cookies for advertising. 

We limit access to your personal information to our employees and contractors who have a legitimate need to use it. If we share your information with other parties (like developers, service providers, domain registrars, and reselling partners), they must have appropriate security measures and a valid reason for using your information, typically to serve you.

Beaconsoft undertakes to provide you the same rights no matter where you choose to live. 

We keep your personal information for as long as it is required for the purposes stated in this Privacy Policy. When we no longer have a legitimate need to process your information, we will delete, anonymize, or isolate your information, whichever is appropriate. 

4. Communications and updates 

When you supply your personal information for marketing, you are agreeing to receive regular news and updates about Beaconsoft, invitations to events and updates about our products and services. 

We would like to use your personal data to send you details of products or services that we offer that we have identified as likely to be of interest to you. We will only send you information in line with the preferences you indicated when you provided the personal data.

5.1 “Consent” means that you have agreed to let us process your personal data, in the form of an opt-in or disclaimer, as explained at the point of data collection. You can change your mind at any time.

5.2 “Legitimate Interest” means we have a legitimate business interest to use your data and we feel that this use is of benefit to you and is something you would expect. We will also offer you the option to opt-out if you choose. 

5.3 “Contract” means we need to process your data in relation to a contract between us and you (for example, your Veracity subscription). 

5.4 “Legal Obligation” means that we have to process the personal data in order to comply with the law. 

6. How do we process your personal information? 

We collect and process your personal data as follows and on the basis of Legitimate Interest and/or Consent data when using our website. When data is collected by the use of our solutions and services it is under the Legal Obligation of the company that is using Beaconsoft as a Data Processor: 

Examples of how we use data from our public-facing website are listed below: 

“Book a demo” Booking you a demonstration.
“Contact us” Contacting you at your request.
“Registration” Signing you up for a Veracity account.  

“Using our customers website” Record nonidentifiable data and your IP Address. Lawful Obligation or Legitimate Interest bases of the customer using the product. 

7. Sharing your personal data 

7.1 We won’t share your personal data with third parties for marketing purposes without your consent.

Any other trading arm or subsidiary of Beaconsoft, as stated in the intro to this Privacy Notice.
Our business partners, suppliers and subcontractors as part of our relationship with you, and after confirming that they will only process your information on our instruction and while using appropriate security.
Our auditors, legal advisers and other professional advisors or service providers.
Credit reference agencies..

8. Disclosing your personal information 

8.1 We may share your information with third parties:
If we sell or buy assets, in which case we may disclose your personal information to the prospective buyer or seller, subject to the terms of this privacy notice.
If the assets of Beaconsoft or any organisations which are part of Beaconsoft are acquired by a third party and subscribers and contacts are one of the transferred assets.
If we are legally required to share your personal data, or in order to enforce or apply our contractual terms and conditions with you.
To protect the rights, property, and safety of Beaconsoft and others. This includes sharing your personal information with other organisations for the purposes of fraud protection, credit risk reduction and preventing cybercrime. 

9. Transfer of your personal information 

If we transfer or store your data within or outside of the European Economic Areas (the 28 Member States of the European Union plus Iceland, Lichtenstein and Norway), we will take steps to make sure that your data is protected as if it were stored in the UK and following UK General Data Protection Regulations.

A cookie is a small piece of information sent by a web server to a web browser, which enables the server to collect information from the browser.  We utilise 2 technologies that match this condition, cookies and local storage cookies my be transferable between different websites LocalStorage is not. 

We use cookies to identify you when you visit our website and to keep track of your browsing patterns and build up a demographic profile (for example, geographic location from publicly available geo data sets).  All such data is collected via an opt-in to analytics cookies process in line with applicable privacy laws. We also use LocalStorage for legal obligation to prevent data breaches and fraud.
